Creating a grading plan

Create a grading plan and select the exams and sessions to grade.

Background

A grading plan bundles the work for one grading round. In the plan, you choose which sessions to grade. There are two ways to do this:

  • Finish window: you select the exams, and the plan takes in every session of those exams that finishes in a period you choose. Sessions that finish later in that period are added automatically.

  • Fixed collection: you pick the sessions yourself, for example the sessions of one group or one schedule. The plan holds only those sessions.

After you have allocated graders and published the plan, every grader receives one grader task with the answers they need to grade.

You need the Access to Grading plans permission (for example via the predefined Lead grader role) to work with grading plans.

Note: Only exams with at least one manually scored item appear in a grading plan. Adaptive assignments, exercises and oral assignments cannot be graded via a grading plan. A session can only belong to one grading plan.

Procedure

  1. Select Grading in the central menu of assessmentQ and choose Grading plans.
Result: The overview of grading plans opens. By default, it shows the plans with status Draft and Live. The Sessions from column shows whether a plan uses a finish window or a fixed collection.

The grading plans overview. The circled Sessions from column shows whether a plan uses a finish window or a fixed collection.

  2. Click Add.
Result: A new grading plan opens in status Draft. Click the name at the top to give the plan a name. Changes are saved automatically.

  3. In the Sessions lane, choose where the sessions come from with the Sessions from toggle: Finish window or Fixed collection. Then follow the steps below for your choice.

Note: If you switch to the other option after you added exams or sessions, a confirmation dialog tells you what will be removed from the plan. Click Switch to confirm.

Sessions from a finish window

  1. Set the Finish window. Sessions that finished in this period are added to the plan. By default, the window runs from today to tomorrow. If the window ends in the future, sessions that finish later in this period are added to the plan automatically.

A draft plan with sessions from a finish window. Circled: the Sessions from toggle and the Finish window.

  2. Click Add exams, search by exam ID or name (or filter on tags), select the exams and click OK. You can add up to 5 exams to a plan.

The Add exams dialog, with two exams selected.

  3. Check the exams in the Sessions lane. For every exam, you see its ID and the number of Items to grade.

To remove an exam from a draft plan, click the row actions (⋮) of that exam and select Delete.

Sessions from a fixed collection

  1. Click Add sessions.
Result: The Add sessions dialog opens. Sessions that are already in a plan are not listed.

  2. On the left, click Add an exam and select an exam. For every exam, you see how many of its sessions are in plan, available and selected. You can add up to 5 exams to a plan.

  3. On the right, select the sessions you want to add. Use the search (on participant or session ID) and the filters Schedule, Group and Status to find them quickly. You can also select sessions that have not finished yet.

  4. Click Add N sessions. A plan can hold up to 1,000 sessions.

The Add sessions dialog. Circled: the selected exam with its session counts, and the Schedule, Group and Status filters.

  5. Check the sessions in the Sessions lane. The bar under Sessions to grade shows how many sessions are finished, in progress or not started. Hover over the bar to see the numbers.

A draft plan with a fixed collection. Circled: the selected sessions with the Add sessions button, and the Sessions to grade bar.

To remove sessions from a draft plan, click Edit sessions, select the sessions to remove and click Remove N sessions. If you remove all sessions of an exam, the exam is removed from the plan together with its grader allocation. A warning tells you when this happens.

Tip: You can publish a fixed collection before all its sessions are finished. The answers of the remaining sessions flow into the grader tasks as soon as those sessions finish.
