About schedule retake
As a scheduler, you can create a retake for a schedule:
A retake creates a new schedule with the same exam(s) as the original schedule.
It automatically includes only the participants who failed their exam(s), giving them the opportunity to retake those exams.
As a scheduler, you no longer need to manually check who failed, build a new participant list, and create a new schedule by hand every time a retake round is needed. The retake schedule is automatically pre-filled with only the failed participants and only the assignment(s) they failed — nobody who already passed is bothered with a retake.
Notes:
The schedule retake option is available on any schedule delivery type:
on the portal, with a sign-in code (simple or advanced), via LTI and with a direct link.
If you're interested in using the retake functionality but notice that it isn't included in your assessmentQ environment, please contact Televic Education via [email protected].
Use cases of schedule retake
Schedule retake is most useful whenever candidates are expected to keep attempting an exam until they pass, rather than a one-shot exam.
Typical situations:
Certification renewal — candidates must reach a required score (sometimes 100%) to keep or renew a certification, and are allowed one or more additional attempts if they don't pass the first time.
Mandatory compliance or safety training — for example police, aviation, or industrial safety exams where every candidate is required to demonstrate full competency before they can carry out a role, and failing simply means they retry.
Onboarding exams — new employees must pass a knowledge check before continuing, and failing is treated as “try again,” not “fail the course.”
Prerequisites for a schedule retake
You can use the schedule retake option, provided that the following conditions are met:
Schedule is expired
The retake option is available only for expired schedules. You can schedule a retake only after the original schedule has ended.
Sessions are finished
You can schedule a retake only after all sessions in the original schedule have been completed. If candidates have not completed their sessions, you must end the sessions manually before scheduling a retake. For more information, see Finishing sessions.
Schedule contains fixed or on-the-fly (OTF) exams
The retake option is available for fixed or on-the-fly exams only. If your schedule contains only assignment types other than fixed or on-the-fly exams (e.g. exercises or adaptive assignments), the retake option is not available.Tip: A schedule retake includes the same exam(s) as the original schedule. If the retaken assignment is a fixed exam, each participant receives exactly the same set of questions as in their original attempt.
Therefore, we recommend using on-the-fly (OTF) exams in the original schedule instead of fixed exams whenever possible. This allows participants to receive a different set of questions during the retake (provided that the OTF exam contains enough question variants). Schedule contains failed sessions
You can schedule a retake only for schedules that contain failed sessions. If all participants have passed their exam(s), the retake option is not available.Result processing is completed
When scheduling a retake, the system displays a warning to remind the planner that all processing that may affect the exam results should be completed. This includes, for example, manual grading of items and / or excluding questions from an exam.
The warning is informational only and does not prevent the planner from scheduling the retake. It is the planner's responsibility to ensure that all result processing has been completed before scheduling the retake.
Recognizing a retake schedule
The retake icon, the retake banner with the retake chain, and the schedule history make it easy for the planner to identify whether a schedule is a retake, which schedule it belongs to, and how many retake rounds have already taken place.
Retake icon
In your schedule overview, a retake icon
is shown next to your retake schedules, so you can distinguish them from regular schedules at a glance.
Retake banner
When you schedule a retake, a retake banner is added to both the original schedule and the retake schedule. Each time you schedule another retake, the banner is updated for all schedules in the retake chain.
The banner:
indicates the total number of retake rounds in the chain;
provides a clickable list of all schedules in the retake chain, allowing you to quickly navigate between the original schedule and its retakes.
Schedule history
Together with the schedule history, the banner makes it easy to identify schedules that are part of a retake chain and to view all related schedules.
Scheduling a retake
To schedule a retake, proceed as follows:
Go to Scheduling > Schedules.
Result: You see the list of your schedules.Search for and/or filter the schedule for which you want to schedule a retake. For more information, see Searching and filtering the schedules overview.
Tip: Filter the schedule list for expired schedules as retake is available for expired schedules only.
Click on the three dots next to the schedule of your choice. Alternatively, open the schedule and click on the three dots in the upper right corner.
Select Retake.
Result: You see a confirmation pop-up.Note: The Retake option is greyed out when a retake is not available for the selected schedule. If retake is not yet possible, a pop-up message will appear explaining the reason. For more information, see Prerequisites for a schedule retake.
Click Continue.
Result: A new draft schedule is created. A retake banner is shown both on the original schedule and the retake schedule (more information).
All schedule settings (delivery type, monitoring, review, results, etc.) are copied from the original, except assignments and participants, which depend on the results:
Portal and sign-in schedules:
Only the participants who failed and the assignments they failed are included.
If in the original schedule participants were added via a group, only the individual (failed) group members are included in the retake schedule.
If the retake schedule has multiple assignments to retake, it is automatically handled as an advanced delivery schedule (more information).
LTI and direct link schedules:
No participants are included (participants are added automatically, as usual); all assignments are copied.
Note that participants who passed their exam(s) will see an “all exams passed” placeholder when using the link.
Review and, if needed, adjust the availability period of the retake schedule.
Note that a retake schedule offers limited editing. For more information, see Editing a retake schedule below.Click publish in the top right corner to publish the retake schedule.
Result: The schedule detail page is shown. The participants will be able to take their retake as soon as the schedule becomes available.
Notes:
If participants still don't pass, you can schedule another retake on top of the previous retake schedule without any extra setup work. You can repeat this process for up to 10 retake rounds.
Retake schedules can be monitored the same way as regular schedules. For more information, see Monitoring onsite exams or Monitoring remote exams.
Retake sessions work with certificate generation in the same way as regular sessions. For more information, see Certificates.
Retake sessions are shown in reporting like any other session. For fixed exams, all items and scores are shown; for on-the-fly exams, only parts are shown. For more information, see Reports.
Retake sessions are excluded from item analysis. For more information, see Restrictions of schedule retakes.
Editing a retake schedule
Retake schedules are less flexible to adjust afterwards than a regular schedule:
you can only edit the availability period, but you cannot add or remove participants or assignments.
For more information, see Editing the availability period of a schedule.
If a retake schedule has multiple assignments to retake, it automatically becomes an advanced delivery schedule. In this case as well, the editing options are limited:
you can view slots, participants and assignments
you can edit the availability period per slot. For more information, see Editing the availability period of delivery slots.
you cannot add/remove slots or toggle advanced delivery off.
Notes:
Once a retake schedule exists for a schedule, editing options on the original schedule become more limited. You can no longer change the:
Availability period
Assignments
Participants
These restrictions also apply when editing retake schedules or schedules that have a retake through the assessmentQ API.
If you delete a (draft or upcoming) retake schedule, the original schedule becomes fully editable again.
Participants taking a retake
The experience for participants taking a retake depends on the delivery type:
Retake schedule on the portal
Only the participants who failed their exam(s) in the original schedule, will see the retake schedule on their portal. When there are multiple assignments to retake, assignments follow the advanced delivery order (if any).
Retake schedule with a sign-in code
Only the participants who failed their exam(s) in the original schedule, will get a sign-in code to retake their exam(s). After entering their code, they will see the assignment(s) to retake. When there are multiple assignments to retake, assignments follow the advanced delivery order (if any).
Retake schedule via LTI
All participants can open the LTI link for a retake. However, the system automatically checks whether the participant has to retake the assignment. If yes, the exam is opened. If not, the exam is not displayed. The participants see a message indicating that they have already taken this exam and passed it.
Retake schedule with direct link
When opening the direct link, only failed assignments are shown to the participants. Participants without failed assignments see a message indicating that they have already taken the exam(s) and passed it.
Restrictions of scheduling retakes
When scheduling retakes, please note the following restrictions:
Managing participants and assignments in a retake schedule
You cannot add or remove participants on a retake schedule; only the availability period per slot can be edited. For more information, see Editing a retake schedule above.
Changing the order of assignments in a retake schedule
The fixed/predefined order of assignments is not preserved on a retake schedule. You cannot change the order of assignments in a retake schedule.
Switching from / to advanced delivery scheduling
You cannot switch a retake schedule to (or from) advanced delivery manually.
Duplicating a retake schedule
The Duplicate functionality is not supported for retake schedules.
One retake per schedule with a maximum of 10 retake rounds
You can schedule only one retake for an expired schedule. If participants have not passed the retake, you can schedule another retake once the previous retake schedule has expired. You can repeat this process for up to 10 retake rounds.
No support in item analysis
Item analysis includes only results from the sessions in the original schedule. Results from retake sessions are excluded because repeated exposure to the same items during retakes may influence their psychometric properties and affect the accuracy of the item analysis.
API support
Scheduling a retake is not available via the assessmentQ API.
